Job Summary:

 

The Front Desk Controller Supervisor plays a vital role in managing room assignments, controlling inventory, and overseeing daily guest arrivals and departures to ensure an exceptional arrival experience. Reporting to the Front Office Manager, this position is responsible for coordinating room readiness, VIP blocking, early arrivals/late checkouts, and ensuring smooth communication between the front office, housekeeping, and bell services. The role includes managing the “flow” of room usage and optimizing occupancy.

Shift & Schedule Availability: Year-Round / Full-Time
Pay Range: $22 – $26/hour. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.

Responsibilities

  • Coordinate and manage daily room assignments to maximize occupancy, guest satisfaction, and operational efficiency.
  • Prioritize VIPs, long-stay guests, group blocks, and guests with special requests, ensuring appropriate room placement.
  • Monitor the status of rooms and work closely with housekeeping to ensure timely turnovers and clean status updates.
  • Communicate proactively with bell, valet, and concierge teams regarding guest arrivals and any room-related delays.
  • Lead daily arrival meetings with front office and housekeeping to review check-ins, outs, and special circumstances.
  • Respond quickly to unexpected situations such as room moves, maintenance delays, or early departures, updating systems accordingly.
  • Maintain awareness of room inventory, room types, and ADA/accessible availability.
  • Assign room keys and prepare registration materials for incoming guests and groups.
  • Assist with pre-arrival planning, including blocking rooms for early arrivals, connecting rooms, and special amenity placements.
  • Collaborate with Reservations, Sales, and Guest Experience teams to ensure guest preferences and special occasions are accommodated.
  • Support front desk agents with room changes, system corrections, and guest problem resolution related to rooms.
  • Act as a communication hub between departments for all room status changes and special handling notes.
  • Other duties as assigned

Qualifications

  • Minimum of 2–3 years of front office experience in a hotel or luxury resort environment.
  • Strong familiarity with room blocking, guest service standards, and PMS (Opera preferred).
  • Detail-oriented with excellent time management, communication, and organizational skills.
  • Ability to multitask in a fast-paced setting and remain calm under pressure.
  • Strong guest service acumen and ability to support team members and resolve guest concerns.
  • Willingness to work various shifts, including weekends, evenings, and holidays.
