Overview

You will be responsible for planning, coordinating, and executing a wide variety of events at the resort, ensuring exceptional guest experiences from concept to completion. This position serves as the primary liaison between clients and the resort, translating event visions into operational excellence while maximizing profitability and maintaining the highest quality standards. This role operates in a fast-paced hospitality environment requiring interaction with guests, clients, and team members in various settings including offices, meeting rooms, banquet halls, and outdoor event spaces. Responsibilities

Client Relationship Management

  • Serve as the primary point of contact for assigned events, building and maintaining positive client relationships.

  • Conduct thorough pre-event meetings to determine client needs, event objectives, and logistical requirements.

  • Provide timely and professional communication to clients, addressing questions, concerns, and changes promptly.

Event Planning and Coordination

  • Develop comprehensive event plans, including detailed timelines, room layouts, audiovisual requirements, catering specifications, and transportation arrangements.

  • Collaborate with internal departments (sales, culinary, operations, housekeeping, AV, etc.) to ensure all event elements are executed according to plan.

  • Prepare and distribute detailed Banquet Event Orders (BEOs) and other event documentation to all relevant departments.

Onsite Event Management

  • Oversee event setup, execution, and breakdown, ensuring all aspects meet established quality and service standards.

  • Act as the onsite contact for clients, resolving any issues quickly and effectively to ensure a seamless guest experience.

  • Lead and coordinate event staff during functions, maintaining a professional and service-oriented presence at all times.

Financial & Administrative Responsibilities

  • Monitor event budgets, ensuring all expenditures align with financial goals and contractual agreements.

  • Maintain accurate event files, records, and billing documentation.

  • Conduct post-event evaluations with clients and internal teams to identify opportunities for improvement.

Qualifications

Education and Experience

  • Bachelor’s degree in Hospitality Management, Event Management, or a related field preferred.

  • Minimum 3–5 years of experience in convention services, event planning, or a similar role, preferably in a resort or large-scale hospitality environment.

Skills and Competencies

  • Exceptional organizational and project management skills with strong attention to detail.

  • Excellent interpersonal, verbal, and written communication abilities.

  • Proficiency in Delphi (preferred) and Microsoft Office Suite.

  • Ability to manage multiple events simultaneously under tight deadlines.

  • Flexible schedule availability, including evenings, weekends, and holidays as required by event demands.


Physical Requirements

  • Ability to stand and walk for extended periods during event setup and execution (up to 8+ hours).

  • Ability to lift and carry up to 25 pounds.

  • Ability to climb stairs and navigate various resort locations quickly and safely.

  • Manual dexterity for handling audiovisual equipment and detailed setup tasks.

  • Clear vision and hearing for effective communication in diverse event environments.

  • Stamina to work long hours during peak event periods while maintaining professionalism and attention to detail.
