You will play a key role in supporting the Catering and Convention Services team to ensure the flawless execution of events in our expansive 295,000 sq. ft. of meeting and event space. This role is responsible for preparing Banquet Event Orders (BEOs), assisting with event logistics, and partnering closely with the Banquets department and other resort teams to deliver exceptional guest experiences. Prepare and maintain accurate Banquet Event Orders (BEOs) in collaboration with the Catering and Convention Services Manager.
Assist with event planning and logistics, including room setup requirements, audiovisual needs, menus, and décor details.
Serve as a liaison between clients and the Banquets team to ensure smooth communication and execution of events.
Monitor and update event details in the event management system in a timely manner.
Coordinate and confirm event details with internal departments such as Culinary, Audio Visual, Front Office, and Housekeeping.
Assist with pre-event meetings, site tours, and client communications as needed.
Maintain organized and up-to-date files, contracts, and documentation for each event.
Support the Catering and Convention Services Manager in handling client requests and changes before, during, and after events.
Track and follow up on post-event billing, ensuring accuracy and timeliness.
Contribute to a positive and collaborative work environment while upholding resort service standards.
1–2 years of experience in hospitality, catering, conference services, or related field preferred.
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple projects and priorities in a fast-paced environment.
Proficiency in Microsoft Office Suite; experience with Delphi or similar event management software preferred.
Strong interpersonal skills with the ability to work effectively with diverse teams and clients.
Physical Requirements:
Ability to stand and walk for extended periods during site tours and event days (up to 8 hours).
Ability to occasionally lift and carry up to 25 pounds (event materials, décor items, BEO packets).
Ability to climb stairs and navigate multiple floors and meeting spaces throughout the resort.
Visual acuity to review event orders, diagrams, and documents accurately.
Stamina to work flexible schedules, including early mornings, evenings, weekends, and holidays during high event demand.
