Overview

The Accounts Payable Specialist will be responsible for processing and maintaining the accounts payable function for the hospitality division. This role will be highly engaged with internal team members and vendors; strong communication and problem-solving are critical. Hopitality is a fast-paced customer-service focused business, so organization skills and time management capabilities will be important attributes of this role. This position is an on-site role.

 

Salary: $25.00/hour - $26.00/hour

Responsibilities

  • All accounts payable to include:
    • Responsible for the accurate and timely payment of all incoming invoices. Verify vendor invoices for accuracy and correct documentation before processing payment.
    • Oversee the invoice approval routing process.
    • Reconcile invoices with purchase orders and verifies source documents necessary to obtain approval.
    • Manage the expense report process.
    • Reconcile accounts payable transactions and prepare analysis of accounts to ensure timely payments and identification of issues. Research and resolve invoice issues and discrepancies.
    • Process weekly check-runs and prepare weekly ACH payment batches.
    • Correspond with vendors including: responding to inquiries, communicating about payment status, and ensuring that company accounts remain in good standing.
    • Maintain accurate and up to date vendor files, contract files, and lease files.
    • Perform monthly general ledger closing activities related to Accounts Payable, assist with monthly accruals, complete month-end closing checklist, and other supporting duties.
    • Prepare year end 1099 reporting and collection of Form W-9 from vendors.
    • Maintain complete document trails to ensure that audits can be easily conducted on all transactions.
    • Participate in the development and improvement of processes.
  • Perform special projects as requested by Accounting Manager to include, but not limited to, account reconciliations, audit tasks, and cross-training within the department.

Qualifications

  • College level courses in Business or Accounting preferred.
  • 2-5 years of combined work/education experience
  • Basic understanding of cash and accrual basis of accounting and the relationship to job cost accounting.
  • Accurate and detail-oriented work ethic.
  • Proficiency with Excel and other Microsoft Office applications.
