Job Summary: 

 

The Complex Catering & Conference Services Coordinator supports the Catering & Conference Services team for both Black Desert Resort and Red Mountain Resort by providing administrative, sales, and event coordination assistance. This position plays a critical role in ensuring seamless event planning and execution by managing communication between clients, vendors, and internal departments. Responsibilities include creating event orders, managing timelines, and ensuring all event details are accurate and on schedule.

Onsite: Black Desert Resort & Red Mountain Resort 
Shift & Schedule Availability: Year-Round / Full-Time 
Pay Range: $18 – $20/hour. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.

Responsibilities

  • Provide daily administrative support to the Complex Catering & Conference Services team. 
  • Prepare, review, and distribute Banquet Event Orders (BEOs) and other event documentation. 
  • Maintain accurate event files and track deadlines, changes, and approvals. 
  • Communicate event details and updates to appropriate departments, ensuring all teams have the latest information. 
  • Assist with site inspections, property tours, and client meetings as requested. 
  • Respond promptly to client inquiries and provide exceptional service and follow-up. 
  • Support the team with menu printing, signage creation, and other event materials. 
  • Track and order office and event supplies as needed. 
  • Coordinate small internal or recurring events independently as assigned. 
  • Attend and take detailed notes during weekly BEO meetings and pre-conference meetings. 
  • Other duties as assigned 

Qualifications

  • Minimum of 1–2 years of administrative or event coordination experience, preferably in hospitality or catering. 
  • Strong written and verbal communication skills. 
  • Excellent organizational skills with the ability to manage multiple priorities. 
  • Proficiency in Microsoft Office Suite; experience with Delphi or similar event software preferred. 
  • Strong attention to detail and accuracy in documentation. 
  • Ability to work independently and as part of a collaborative team. 
  • Flexible schedule with availability for occasional evenings, weekends, and holidays.
