Job Summary:

 

The Sales Coordinator supports the Sales team by handling administrative tasks, coordinating client communication, and assisting with the preparation and execution of sales activities. This role ensures smooth operations within the Sales Department, timely follow-up with clients, distributing leads, and accurate documentation of group bookings, contracts, and proposals. Reporting to the Director of Sales, the Sales Coordinator plays a vital role in maintaining client satisfaction and supporting revenue growth for Black Desert Resort.

Shift & Schedule Availability: Year-Round / Full-Time
Pay Range: $18.50 – $21/hr. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.

Responsibilities

  • Provide administrative support to the Sales Managers, Senior Sales Managers and Director of Sales.
  • Prepare contracts, proposals, presentations, and reports with accuracy and professionalism.
  • Help maintain and update group booking systems (e.g., Delphi, Opera, or similar CRM).
  • Assist with site visits, including preparing collateral, coordinating schedules, and hosting prospective clients.
  • Handle client inquiries, ensuring prompt responses and appropriate follow-up.
  • Track leads, proposals, and contracts to ensure deadlines and client expectations are met.
  • Maintain organized client files, records, and databases in compliance with resort standards.
  • Assist with the coordination of client events, group arrivals, and pre-conference meetings as needed.
  • Collaborate with other departments (banquets, catering, reservations, and operations) to ensure accurate communication of client needs.
  • Perform additional administrative or operational tasks as assigned to support the Sales team.

Qualifications

  • Minimum 1–2 years of experience in hospitality, sales, or administrative support.
  • Strong organizational and time management skills with attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with Delphi, Opera, or other CRM/sales systems preferred.
  • Excellent verbal and written communication skills.
  • Professional demeanor and ability to interact effectively with clients and colleagues.
  • Flexibility to support occasional evenings, weekends, or special events.
