Overview

The Caldera Springs Property Manager assumes full responsibility for all vacation rental properties assigned to their individual business unit, including but not limited to, owner relations, customer service issues, housekeeping and maintenance, and annual deep cleaning. The Caldera Springs Property Manager is also responsible for financial accuracy of all home-owner statements. The Caldera Springs Property Manager has primary responsibility for communication and relationship management for all owners of vacation rental properties in a specific section/territory of accommodations which are managed by Sunriver Resort.  S/he will act as the primary point of contact for each property owner, and provide for and /or coordinate all services needed.  The Caldera Springs Property Manager will work to ensure owner and guest satisfaction while balancing the need to achieve good financial results for Sunriver Resort. The Caldera Springs Property Manager will utilize Revinate, or other designated customer satisfaction tools, to strategically goal set and plan for improved customer satisfaction scores.

Responsibilities

  • Lead proactive and effective communication efforts to and from each property owner;
  • Act as liaison between each property owner and Sunriver Resort
  • Maintains strong relationships and serves and an advocate for all owners on the management program
  • Work in partnership and collaborate with Housekeeping and Maintenance to achieve operations efficiency and successful results for owners, guests and Sunriver Resort.
  • Regular inspection of properties to ensure interior and exterior quality meets minimum standards required by Sunriver Resort.
  • Complete a bi-annual evaluation on each designated property, identifying strengths and weaknesses, communicates all results to the property owner.
  • Coordinates with owner to ensure completion of needed interior maintenance and unit improvements or upgrades.
  • Monitors rental performance of all units, and communicates with owner as needed to ensure performance meets results that are acceptable to owner and to Resort.
  • Negotiates with vendors and contractors for maintenance issues
  • Full understanding and ability to answer owner questions regarding management policies, including a thorough understanding of the rental agreement
  • Quickly and effectively resolves emergency maintenance issues
  • Ensures that any keys to owner storage or other secured areas of each property are labeled, stored and monitored to prevent unauthorized use.
  • Works with Senior Property Manager to bring new properties into the management program that meets the criteria established by Sunriver Resort. This includes communications, meetings with owners, and contract signing. 
  • Design and implement an owner relations strategy to include frequent owner communication, individual meetings and personalized amenities.
  • Have a strong understanding of the Caldera Springs Owners’ Association CC&R’s, rules and policies.  Work directly with the Caldera Springs General Manager and Owners Association Manager to ensure rental guest compliance.
  • Work in partnership with the Caldera Springs Real Estate team and provide management coverage at the Lake House/Real Estate Office in his/her absence.
  • Attend scheduled Caldera Springs Owners Association events and meetings.
  • Attends all appropriate department, division and resort meetings, with particular emphasis on strong communication and positive relationships with Housekeeping, Maintenance, Reservations and Front Desk staff members.
  • Maintains a strong knowledge of hospitality trends, especially in property management
  • Offers warm and sincere welcome/farewell for all guests of Sunriver Resort including use of guest name & good eye contact with each guest
  • Resolves guest issues promptly and with great care and effectiveness.
  • Ensure proper resolution of any guest-caused damage.
  • Assist in preparation of monthly forecasting and annual budget.
  • Maintains an up to date working knowledge of all resort amenities as well as any special events
  • Up sells other resort services and amenities to guests
  • Interacts with resort staff in a professional manner, assisting other departments with necessary information
  • Always maintains a professional demeanor and attitude
  • Communicates all pertinent information to other members of the Property Management team
  • Acts with responsibility towards all company property, supplies and equipment
  • Maintains a professional appearance and follows all Sunriver Resort dress code standards.
  • Remains alert, courteous and helpful to the guests and colleagues at all times
  • Performs other duties as assigned

 

Qualifications

  • High school diploma or equivalent required
  • Two or four year degree from accredited college or university preferred
  • At least two years of prior experience in managing a portfolio of homes or condominiums, preferably in a resort or vacation destination.
  • Prior AAA Four Diamond Standards experience preferred
  • Must have a valid driver’s license and meet company driving standards
  • Must have excellent phone etiquette
  • Must have strong computer skills
  • Must have strong management skills
  • Must have strong working knowledge of Microsoft Office programs and SMS or similar hotel/property management software
  • Ability to work a flexible schedule that may include evenings, weekends and holidays
  • Must have the ability to deal effectively and interact well with the guests and associates
  • Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner
  • Must have a passion for creating an exceptional experience for all guests
  • Must be able to perform simple grasping, fine manipulation, and repetitive hand & arm movements frequently, and squeezing & overhead reaching occasionally. 
  • Must be able to work indoors or outside;
  • Must be able to stand on feet throughout the day;
  • Must be able to frequently lift up to 25 lbs. and occasionally lift up to 50 lbs. with assistance;
  • Must be able to bend, squat crawl, kneel, push, pull, walk on uneven surfaces on an occasional basis;
  • While primarily an indoor job, must be able to walk outside in a variety of weather conditions (rain, wind, snow, heat);
  • Must be able to climb stairs occasionally, both indoors and outside in a variety of weather conditions (rain, wind, snow, heat).
