Overview

As the Group Reservations Coorinator (or Group Rooms Coordinator), you'll use your strong attention-to-detail and administrative skills to manage group room reservations and inventory. As an integral member of the Reservations team, you'll work to maximize room revenue. Partnering closely with the event management team, you'll ensure the complete satisifcation of meeting planners and their guests.

 

Salary: $22.00/hour

Responsibilities

  • Work with the Event Planning Manager and Group Clients with group rooming lists, reservation changes, and group billing – according to contract and email history
  • Reviews all contracts to ensure accuracy of rates, dates, billing inventory levels and that miscellaneous information is accurate and concise
  • Create and maintain group room blocks. Ensure all reservations have correct billing, and all other necessary information
  • Monitor group pick-up, communicating reservation due dates to clients on regular basis. Maintain and audit reservation due dates and room inventory for all groups
  • Report any group pick up concerns to the Director of Reservations and the Director of Revenue Optimization
  • Leads weekly group pickup meeting along with Director of Revenue, attended by Event Planning Managers, Director of Reservations, Director of Sales, and Front Office Manager
  • Run group arrivals lists for future arrival dates, and no-show reports daily
  • Check for duplicate reservations – by calling all multiple same name reservations to ensure accuracy of guest names, and any special requests
  • Check for group reservation errors and contact caller of the reservation or group contact accordingly to obtain and verify information
  • Supply information on all groups booked by the Sales Department to Reservations enabling the Vacations Sales Specialists to properly take calls in reservations Ensures that the correct group sales process is in place and complete and that accurate guest data is obtained
  • Complete Group Commission Report, after group’s departure
  • Monitor room type availability daily to ensure group blocks are balanced
  • Run all pertinent reports for groups such as rooming list and pick up and other ad hoc reports as requested
  • Input and audit rooming lists for call in groups for booking accuracy, billing and notes
  • Input rooming list for rooming list groups within 24 hours of receipt
  • Answer all questions from the reservation agents or assist with guests with group questions
  • Attends group pre-conventions meetings if required

Qualifications

  • Minimum 1 year of hotel/resort experience
  • Knowledge of Springer Miller Systems or other PMS system is a plus
  • Previous Envision experience is a plus
  • Must be extremely detail oriented
  • Must be able to work in a flexible environment-position will be seasonable, so in “off peak” times, assistance with front office tasks, reservations sales and other jobs as needed
  • Excellent verbal and written communication skills
  • Must be able to multi task and work well with multiple departments
