The Procurement Department ensures operational readiness across the resort through comprehensive sourcing, receiving, inventory, and distribution functions. The Assistant Procurement Manager plays a critical leadership role in strengthening supply chain performance, accuracy, and operational continuity. 

 

Job Summary 

 

The Assistant Procurement Manager supports the Director of Procurement in overseeing purchasing, receiving, warehouse, and inventory operations while providing leadership to the Procurement team. This role manages alcohol inventory controls, supports vendor relations, ensures accuracy of procurement data, and guides daily workflow to meet resort needs.

Shift and Schedule Availability: Full Time / Year-Round 
Pay Range: $58,800. Compensation decisions are based on experience, internal equity, and position requirements.

Responsibilities

  • Supervise, train, and guide the Purchasing Specialist team in daily receiving, stocking, and distribution activities 
  • Set and uphold departmental standards for safety, accuracy, cleanliness, and internal customer service 
  • Assist the Director of Procurement with scheduling, workflow planning, and resource allocation 
  • Serve as the day-to-day departmental lead during the Director’s absence 
  • Maintain accurate tracking of alcohol movement and investigate variances or discrepancies 
  • Perform alcohol reconciliations and ensure proper documentation and controls 
  • Coordinate alcohol ordering for all bars, restaurants, banquets, and special events 
  • Maintain secure alcohol storage, product rotation, and inventory procedures 
  • Partner with Food and Beverage leadership to forecast demand and set par levels 
  • Assist with sourcing, bidding, and negotiating pricing for food, beverage, supplies, and equipment 
  • Evaluate vendor performance related to quality, reliability, and cost-effectiveness 
  • Resolve escalated vendor issues including shortages, damages, or invoicing conflicts 
  • Maintain clear communication with suppliers to support reliable deliveries 
  • Review and approve purchase orders for accuracy, coding, and compliance 
  • Oversee data entry, receiving logs, inventory transactions, and procurement system accuracy 
  • Conduct audits of procurement records and digital files 
  • Support budget planning, cost-control efforts, and procurement reporting 
  • Lead monthly inventory counts for alcohol, beverages, and operating supplies 
  • Analyze variances and recommend corrective actions to strengthen inventory accuracy 
  • Oversee coordination of deliveries, bulk orders, seasonal procurement, and storage organization 
  • Ensure efficient distribution of materials to internal resort departments 

Qualifications

  • Three to five years of procurement or purchasing experience required, preferably in hospitality 
  • Strong knowledge of food and beverage procurement, alcohol controls, and inventory systems 
  • Previous leadership or supervisory experience in a high-volume operational setting 
  • Strong analytical skills with ability to identify discrepancies and implement solutions 
  • Effective communication, negotiation, and vendor management skills 
  • Proficiency in purchasing and inventory software systems and Microsoft Excel 
  • Valid driver license with acceptable driving record 
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced setting 
  • Must be at least 21 years of age at start date
