Overview

The Lead Banquet Captain supports the Banquet Management team by supervising the daily operations of the banquet department and making necessary decisions when management is not present. This role helps lead the banquet team in delivering elevated, seamless service for all events. The Lead Banquet Captain ensures service standards are upheld, event details are executed with precision, and the team is informed, prepared, and aligned with departmental goals.

This position plays a key role in maintaining guest satisfaction, managing labor efficiencies, and fostering clear communication across the department.

Responsibilities

Event Operations & Leadership

  • Serve as the on-floor leader during events, directing banquet servers, bartenders, and support staff.
  • Assist in overseeing event setups, service execution, and breakdowns according to property standards and BEO specifications.
  • Step into supervisory duties when Banquet Managers are not present, acting as the point of contact for guest and client needs.
  • Ensure all Forbes-level or property-specific service standards are consistently practiced.

BEO / Flow Sheet Management

  • Review Banquet Event Orders (BEOs), flow sheets, diagrams, and addendums accurately and proactively.
  • Organize and distribute necessary documents to the banquet team to ensure full preparedness for each event.
  • Confirm all staff understand event timelines, service style, menu details, and special requests.

Communication & Coordination

  • Serve as a communication bridge between management and hourly staff, ensuring updates, changes, and expectations are clearly disseminated.
  • Maintain effective communication with Culinary, AV, Stewarding, Sales, and other supporting departments.
  • Participate in pre-shift meetings, staff briefings, and post-event breakdowns to capture successes, areas of improvement, and follow-up items.

Guest Service & Standards

  • Monitor service quality throughout each event, ensuring guest expectations are exceeded.
  • Resolve guest concerns professionally and promptly, escalating to management when necessary.
  • Assist in training banquet staff on service etiquette, sequence of service, safety, and guest engagement.

Labor & Productivity

  • Support the Manager in scheduling, staffing, and adjusting labor to align with business levels and budget goals.
  • Monitor staff productivity on the floor, ensuring efficient use of labor without compromising service quality.
  • Provide feedback on staff performance and assist with coaching when needed.

Administrative & Departmental Support

  • Help maintain inventory of banquet equipment, linens, service wares, and supplies.
  • Assist in ensuring banquet spaces are properly maintained, organized, and event-ready at all times.
  • Support onboarding and ongoing training of new banquet team members.

 

Qualifications

  • Previous banquet captain or lead server experience required; prior leadership or supervisory experience preferred.
  • Strong organizational and communication skills.
  • Ability to read, interpret, and execute BEOs and event diagrams with accuracy.
  • Demonstrated ability to lead and motivate a team in a fast-paced, service-driven environment.
  • Flexible schedule including evenings, weekends, and holidays.
  • Ability to lift, move, and set banquet equipment as required.

OTHER NEEDS-

  • Maintain balance of inventory control levels, utilizing min/max processes, expiration date inspections, product rotation and first in, first out practices
  • Supervise all monthly inventories to include designation of time, date, organization of count team, inventory locations, count procedures (shelf to sheet), product transfers, export of count sheets and data entry of quantities counted
  • Prepare all requested or assigned reports in a timely and accurate manner.
  • Maintain a safe working environment, ensuring compliance with sanitary procedures
  • Ensure that all current and future SOPs relating to the Purchasing / Receiving department are understood and all related parties trained to perform to such standards.
  • Participates in the development of flow sheets/schedules as needed to maintain financial management of the department.
  • Use effective and professional communication to ensure that the department functions properly and team members interface with one another for effective execution in planning and operations.
  • Maintain department files
  • Create all department purchase orders
  • Monitor HotSOS progress and follow up on all entered improvements and maintenance orders
  • Demonstrate a customer driven style of leadership with a sense of urgency in interactions, execution and recovery.
  • Serve as a role model, trainer/coach and mentor to provide continuing education to others

  • While performing the duties of this job, the employee will be exposed to an indoor and outdoor working environment. The noise level in the work place is usually moderate.
