Overview

Caldera Springs Realty is hiring! We’re looking for a detail-oriented and customer-focused Licensed Real Estate Assistant to support our dynamic real estate team. This role is perfect for someone who loves helping clients, thrives in a fast-paced environment, and enjoys being part of a collaborative, resort-style community.The Licensed Real Estate Sales Assistant will be an employee of Sunriver Resort, L.P.  The following description outlines the role.  Please note that this description may not include all the responsibilities of this role but provides a snapshot for the daily work and expectations.

 

 

The Licensed Real Estate Sales Assistant will always conduct him/herself in a manner which supports the Core Values of Sunriver Resort: Trust, Commitment, and Open and Honest Communication. The Licensed Real Estate Sales Assistant shall strive to provide exceptional service to both internal and external guests at all times. S/he will be responsible for exemplifying the Sunriver Resort Culture as well as promoting Sunriver Resort as both the Destination and Employer of Choice!

Responsibilities

Real Estate Sales

  • Assist Principal Broker to process all contracts through closing, using transaction timeline to ensure proper documentation
  • Obtain all necessary signatures on listing agreement, disclosures and other necessary documentation
  • Assist in all aspects of buyer transactions from executed purchase agreement to closing
  • Act as the primary owner and facilitator of the sales and prospect CRM
  • Provide detailed reporting on all client communication within the CRM
  • Manage the accuracy and presentation of listings on the MLS and website
  • Assist in preparation of all listing materials: listing agreements, disclosures, comparative market analysis, research of old multiple listing service (MLS) listings, etc.
  • Schedule and coordinate the closing process
  • Attend weekly sales meetings and other meetings as directed, including the preparation of sales reports
  • Communicate with customers, clients, other agents, and service providers in a professional and friendly manner from the first interaction through the close of escrow
  • Act as a skillful advocate for the project and support sales and marketing team with their respective goals
  • Greet and welcome guests to the sales center and model home during office hours, facilitating introductions to sales team members
  • Comply with all applicable Oregon real estate laws and regulations, including Oregon Real Estate Agency (OREA) rules, as well as all state and local Realtor® association policies, MLS rules, office policies, and brokerage procedures. Consistently support accurate documentation, ethical conduct, confidentiality, and timely transaction oversight.

 Marketing

  • Assist with launch, community and ongoing special marketing events as needed
  • Gather on-site content for marketing purposes
  • Participate in marketing and sales events and other activities
  • Create and produce resale listing brochures with a 3rd party vendor
  • Create and produce high quality resale property flyers using PDF templates
  • Maintain all property flyers and developer marketing materials to create print-ready files for pre-made buyer folders
  • Maintain real estate displays at Lake House with up-to-date property listings and community information
  • Coordinate photography for listings and ensure property is in photo-ready condition
  • Support other marketing duties as assigned

    • Work with Sales Agent(s) and other team members to ensure daily work aligns with sales objectives and drives team success
    • Work as a “team player” in a variety of other roles as requested by leadership

 

Qualifications

  • Two years of experience in a real estate administrative role preferred
  • Licensed real estate broker in the State of Oregon
  • Excellent verbal and written communications skills with strong attention to detail
  • Ability to work with minimal supervision; self-motivated
  • Enthusiastic attitude and works well as a part of a small team
  • Knowledge of business equipment, MS Office (Word, Excel, Outlook, PowerPoint) and proficient in industry applications, including electronic signature software
  • Ability to work weekends, evenings and holidays
  • Must have a valid driver’s license and meet company driving standards
