Overview

The Food & Beverage Coordinator plays a key administrative and operational support role for the resort’s Food & Beverage division. This position is responsible for managing outlet schedules, supporting daily administrative needs across multiple outlets, and collaborating closely with the Activities Supervisor to ensure smooth staffing and operational coverage for resort activities, pool operations, Monkey Bar, Arlo, and special events. This role is highly organized, detail-oriented, and hands-on, requiring strong communication skills and the ability to work in a fast-paced, high-volume resort environment. Responsibilities

Scheduling & Staffing Coordination

  • Create, update, and maintain weekly and bi-weekly schedules for Food & Beverage outlets, ensuring appropriate staffing levels based on business needs.

  • Coordinate staffing needs with outlet managers, culinary leadership, and the Activities Supervisor.

  • Track schedule changes, call-outs, vacation requests, and shift swaps; ensure all changes are accurately reflected in scheduling systems.

  • Assist with labor planning to support peak periods, special events, pool operations, and activity programming.

Administrative Support

  • Provide daily administrative support to the Food & Beverage department, including:

    • Maintaining employee rosters

    • Assisting with timekeeping accuracy

    • Tracking training completion and certifications

    • Supporting onboarding and orientation logistics

  • Maintain organized records for schedules, staffing reports, and departmental documentation.

  • Assist with internal communication between F&B outlets, Activities, and other resort departments.

Operational Coordination

  • Act as a liaison between Food & Beverage outlets and the Activities team to ensure proper staffing and operational alignment.

  • Support outlet operations as needed by assisting with:

    • Menu distribution

    • Event logistics

    • Special promotions or themed events

  • Communicate daily staffing updates to managers and supervisors.

Collaboration & Communication

  • Work closely with the Activities Supervisor to support revenue-generating programming tied to Food & Beverage operations.

  • Collaborate with HR on scheduling compliance, onboarding needs, and employee communication.

  • Maintain a professional, service-focused presence when interacting with associates and leadership.

Qualifications

  • Previous administrative, coordinator, or scheduling experience in Food & Beverage, hospitality, or a similar fast-paced environment preferred.

  • Strong organizational and time-management skills with the ability to manage multiple priorities.

  • Experience creating and managing employee schedules is highly preferred.

  • Excellent communication skills (verbal and written).

  • Comfortable working with scheduling systems, spreadsheets, and basic office software.

  • Ability to maintain confidentiality and professionalism.

  • Team-oriented mindset with a proactive, solution-focused approach.


Physical Requirements & Working Conditions

This role requires both office-based administrative work and active time spent in Food & Beverage outlets. Candidates must be able to:

  • Sit, stand, and walk throughout the resort and outlets for extended periods.

  • Frequently move between outlets, pool areas, and administrative spaces.

  • Use a computer, phone, and other office equipment for prolonged periods.

  • Occasionally lift or carry items such as paperwork boxes, menus, or supplies weighing up to 25 lbs.

  • Bend, reach, and stretch as needed to access files, equipment, or supplies.

  • Work in both indoor and outdoor environments, including exposure to heat, noise, and busy service areas.

  • Maintain focus and accuracy in a fast-paced, high-volume operation.
