Overview

The International Program Manager will lead recruiting, arrival, onboarding, housing, and transportation logistics of the international workforce at Sunriver Resort. S/he will play an integral role in the seasonal workforce experience.

Responsibilities

Housing & Transportation:

  • Manage housing inventory and occupancy throughout the entirety of the summer season
  • Facilitate seasonal leases
  • Be the primary advocate and contact for homeowners addressing questions and concerns
  • Full coordination of housing maintenance needs and coordination of contractors as needed
  • Facilitate the payments of seasonal leases
  • Ensure the accurate and timely repayment of security deposits
  • Create photo library of houses and belongings
  • Dismantle/Move homeowner and student beds and linens
  • Notify seasonal associates of housing relocations and assist with the move in/out process as needed
  • Coordinate and execute all transportation including, airport transfers, cultural immersion trips, social security office & banking visits, and routine weekly trips as needed.
  • Assist with coordination and execution of summer Cultural activities, including planning and communication. 
  • Full coordination of the international student bike rental program including, but not limited to inventory control
  • Responds to emergency transportation needs of international workforce, for example, unplanned visits to a hospital or urgent care facility
  • Responsible for obtaining housing deposits and properly depositing the with the accounting office
  • Responsible for proper deductions from the international students’ housing deposits along with reimbursing accurate amounts at the end of season
  • Management of the student housing and transportation budget line and monthly forecast with HR Director
  • Lead weekly inspection program, including accurate tracking and documenting
  • Full coordination of all housing departures and airport transportation

International Program Coordination

  • Assists Training and Recruitment Manager with the international seasonal recruitment process
  • Manage International student arrival and departure information and track student details
  • Assign housing to students and prepare house information booklets
  • Be the main contact for international students regarding employment & housing concerns
  • Ensure the verification of IDs for I-9 and E-Verify compliance
  • Assist the Seasonal International Coordinator with the proper filing and documentation of all EEO & I-9s for current and terminated associates
  • Partner with Payroll to ensure all associates are paid timely and in compliance with local and federal wage & hour laws
  • Assist with international workforce related paperwork and provide administrative follow up
  • Assist with mail process for international workforce
  • Lead International orientation classes including Housing Agreements, bikes, locks, lights and security deposit management
  • Lead students through the departure process with the assistance of the International Coordinator
  • Assist with the coordination and execution of summer Cultural activities, including planning and communication

Other Responsibilities

  • Provide coverage for the HR office- meet & greet public, answer phones, filing, etc., as needed.
  • Assist HR staff, Assistant Director of HR, and the HR Director with HR related tasks and projects
  • Assist the Safety & Asset Protection Manager
  • Assist other Individual Business Units throughout the year which include but are not limited to Engineering and Property Management departments.
  • Supports and advocates for a team environment in HR and around the resort; behaving with utmost professionalism during the course of the assignment
  • Performs other duties as assigned by the Assistant Director of Human Resources

 

Qualifications

EXPERIENCE & EDUCATION:

  • High School diploma required, advanced degree preferred
  • Prior office administration experience required
  • At least one year of human resource experience preferred
  • At least one year of housing experience preferred
  • Familiarity with OSHA, BOLI, EEOC and FLSA regulations preferred
  • Prior hospitality experience required

  • Must have a valid driver’s license and be able to drive a company vehicle.

  • Must be highly professional in appearance and demeanor

  • Ability to maintain confidentiality in all associate interactions and handle sensitive matters in a timely and lawful manner.
  • Must have strong computer proficiency and comfort with HRIS and Applicant Tracking Systems.
  • Must be able to effectively multi-task in a fast-paced environment
  • Must have excellent phone skills
  • Must be detail orientated with a high level of accuracy
  • Must consistently maintain a positive/professional attitude while interacting with community members, applicants and resort associates
  • Ability to work a flexible schedule that includes evenings or weekends
  • Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner
  • Must have a passion for creating an exceptional associate experience

WORKING CONDITIONS:

  • Intermittent periods of walking, sitting and standing.
  • Must be able to occasionally lift carry, push & pull up to 50 lbs without assistance;
  • Must be able to bend, squat crawl, kneel, push, pull, walk on uneven surfaces and reach a on a continuous basis. 
  • Visual abilities include close vision and the ability to adjust focus.
  • Must be able to work in a variety of weather conditions (rain, wind, snow, heat)
  • Must be able to travel by car in the local geographic area on a daily basis
