The People Services Generalist is responsible for completing a variety of tasks to support the daily operations of the People Services. Duties include talent acquisition, onboarding process including new hire paperwork and data entry, enforcing employment and safety policies. 

Responsibilities

  • Maintain complete knowledge of all company and departmental policies, procedures, and standards.
  • Serve as a People Services (Human Resources) department resource in the absence of the People Services Manager or Director.
  • Support all facets of the recruitment and onboarding process, including:
    • Posting open positions internally and externally through recruiting platforms and employment boards.
    • Participating in career fairs and recruiting events.
    • Reviewing and screening applicants in partnership with hiring managers.
    • Coordinating interviews and candidate communications.
    • Processing background checks and verifying reference checks.
    • Preparing offer letters and moving candidates through the hiring process in UKG.
    • Conducting new-hire orientation and completing onboarding activities.
    • Verifying I-9 documents and processing E-Verify requirements.
  • Process new-hire paperwork and maintain accurate employee records, ensuring compliance with company policies and employment regulations.
  • Audit and maintain employee personnel files, both digital and physical.
  • Assist with employee relations matters, including employee concerns, grievances, investigations, and disciplinary processes, escalating issues to the People Services Manager as appropriate.
  • Administer employee benefits programs, including enrollment, eligibility updates, monthly reconciliations, coverage terminations, leave administration, and Family and Medical Leave Act (FMLA) processes.
  • Assist with payroll administration by auditing timecards, reviewing payroll reports, communicating with managers regarding payroll discrepancies, and responding to employee payroll inquiries.
  • Maintain accurate trace files and provide daily updates to the People Services Manager or Director.
  • Coordinate and administer associate recognition and engagement programs, including WOW Recognition, MVP awards, birthday recognitions, service anniversaries, and other team member celebrations.
  • Assist with planning, organizing, and facilitating employee events, training sessions, meetings, and company functions.
  • Provide comprehensive administrative support to the People Services department, including:
    • Managing calendars and scheduling meetings.
    • Coordinating training sessions and new-hire orientations.
    • Reserving meeting spaces and event facilities.
    • Drafting correspondence and reports.
    • Answering phones and responding to inquiries.
    • Filing, recordkeeping, and general office organization.
  • Maintain and coordinate employee communication tools, including bulletin boards and departmental postings.
  • Assist in maintaining workflow and operational efficiency across all People Services functions.
  • Demonstrate proficiency with Microsoft Office Suite, HRIS systems, applicant tracking systems, UKG, and standard office equipment including copiers, scanners, and multifunction devices.
  • Partner with hiring managers to identify staffing needs and workforce planning requirements.
  • Develop and maintain accurate job descriptions and recruiting advertisements to attract qualified candidates.
  • Strategically promote employment opportunities using internal resources, job boards, community partnerships, and external recruiting sources.
  • Assist with maintaining employee records related to employment documentation, attendance, benefits, and compliance requirements.
  • Support employee engagement initiatives designed to foster a positive workplace culture and enhance retention.
  • Serve as a cultural ambassador for CoralTree Hospitality by promoting and exemplifying the company’s values, culture, mission, and commitment to exceptional employee experiences.

Qualifications

Education/Experience:

  • High school diploma or equivalent (GED) required.
  • Bachelor’s Degree in Business Administration, Human Resources, or related discipline is preferred.
  • One year minimum HR/People Services related experience required.
  • Previous hospitality or guest service experience is preferred
  • Must be detail-oriented and able to multitask in a fast-paced environment
  • Proficient with Microsoft Office Suite and the ability to learn HRIS systems
  • Effective verbal and written communication skills. Bilingual English/Spanish required.
  • The ability to maintain strict confidentiality
  • Must have excellent employee relations skills and the ability to resolve conflict in a positive manner
  • Have the ability to work a flexible schedule including evenings, weekends and holidays when required
