Job Summary

 

This Payroll Clerk role is responsible for supporting the day-to-day financial operations of the resort with a primary focus on Payroll functions. This role ensures accurate processing of payroll processing, timecard review, employee and department Support, as well as payroll deductions and compliance while providing administrative support to the finance team. The Payroll Clerk reports to the Accounting Manager and works closely with other departments to maintain timely and precise financial records.

Shift & Schedule Availability: Year-Round / Full-Time
Pay Range: $20 – $24/hour. This is the pay range we reasonably expect to pay for this position. Individual compensation decisions are based on a variety of factors.

Responsibilities

Key Responsibilities including but not limited to:

  • Manage and complete the biweekly payroll submission process for hourly and salaried employee populations.
  • Review payroll results for accuracy and identify system or employee-level discrepancies before payroll is finalized.
  • Review tip distribution information for accuracy and resolve discrepancies prior to payroll processing.
  • Process payroll adjustments and corrections using established payroll procedures and designated payroll codes.
  • Prepare and process off-cycle checks related to payroll discrepancies and other approved payments.
  • Prepare final paychecks, including applicable deductions, bonuses, severance, and other termination-related payments.
  • Maintain accurate records of payroll checks issued and ensure the security and control of blank check stock.
  • Oversee the distribution of employee paychecks and required signature documentation.
  • Review timecards and timesheets for accuracy, including regular hours, overtime, sick time, vacation/PTO, holidays, differentials, transfers, and other applicable pay codes.
  • Reconcile timekeeping records to identify and resolve discrepancies prior to payroll processing.
  • Review job transfer codes and labor allocations reflected on employee timecards.
  • Follow up with department supervisors and managers regarding incomplete or inaccurate timecards and payroll approvals.
  • Hold property supervisors accountable for established payroll and timecard approval deadlines.
  • Respond to employee inquiries regarding pay, deductions, timekeeping, and payroll adjustments.
  • Partner with department managers and supervisors to resolve timekeeping and payroll discrepancies.
  • Maintain an open line of communication with People Services, Human Resources, Finance, and property leadership.
  • Provide guidance and training to managers and employees regarding payroll procedures and timekeeping requirements.
  • Establish and maintain employee garnishments and process required garnishment documentation, including interrogatories.
  • Review employee deductions for accuracy and resolve discrepancies.
  • Reconcile applicable benefit deductions to payroll records and supporting documentation.
  • Assist Human Resources with leave of absence, wage audit, and other payroll-related inquiries.
  • Receive and appropriately process legal notices affecting payroll.
  • Prepare and fund applicable retirement plan files and payroll-related payments.
  • Maintain confidentiality and security of all payroll, employee compensation, and financial information.

Qualifications

Preferred Qualifications and Skills:

  • Minimum of 3–5 years of progressive payroll experience, preferably in a hospitality, multi-department, or similarly complex environment.
  • Experience processing payroll for both hourly and salaried employees.
  • Strong understanding of timekeeping, payroll deductions, garnishments, tips, and payroll adjustments.
  • Experience with payroll and timekeeping systems
  • Strong attention to detail and ability to identify and resolve discrepancies.
  • Ability to handle confidential employee and financial information with discretion.
  • Ability to maintain confidentiality and accuracy in handling sensitive financial data.
  • Ability to meet deadlines and work independently or collaboratively in a fast-paced environment.
