Austria Haus Club & Hotel is seeking a Front Office Manager to oversee the day-to-day Front Office operations of the Club and Hotel.

Essential Job Functions

• Develop specific goals and plans to prioritize, organize, and accomplish departmental objectives.
• Interview, select, train, schedule, coach, and support associates, ensuring performance in accordance with the brand and property standards.
• Directly oversee the Front Desk, Concierge, and Night Audit teams, including day-to-day performance, scheduling, training, communication, and service standards.
• Manages day-to-day operation, ensuring the quality, standards and meeting the expectations of the customers on a daily basis.
• Handle guest and owner concerns, resolve disputes and service issues, and follow through to ensure appropriate resolution.
• Monitor guest and owner satisfaction feedback and work toward continuous improvement in departmental and overall satisfaction.
• Oversee Front Office financial operations and ensure compliance with accounting controls and procedures.
• Review guest and owner correspondence, incident logs, and operational information and direct staff as appropriate.
• Monitor occupancy of Hotel guest rooms and Club residences to support efficient inventory use and minimize overbooking or occupancy conflicts.
• Create specific, measurable, achievable, realistic, and timely action plans to address service deficiencies.
• Adjust staffing and schedules based on business demand. Must be able to fill in as needed and maintain a flexible work schedule.
• Ensure regular, ongoing communication with associates regarding business objectives, expectations, performance, and operational priorities.
• Understand the impact of Front Office operations on the overall financial goals and objectives of the Club & Hotel and manage the department accordingly.
• Provide service that goes above and beyond to support guest and owner satisfaction and retention.
• Set a positive example for guest and owner relations and empower associates to provide exceptional service.
• Observe associate service behaviors and provide timely guidance, feedback, coaching, and recognition.
• Interact with guests and Club owners to obtain feedback on product quality, service levels, and overall satisfaction.
• Build and maintain positive relationships with Club owners, responding to owner questions, requests, and concerns in a professional and timely manner.
• Ensure Front Office associates understand the service expectations and operational differences associated with hotel guests, Club owners, and owner guests.
• Serve as a key operational liaison between Front Office, Housekeeping, Engineering, and other departments to ensure seamless Hotel and Club operations and a consistent guest and owner experience.
• Emphasizes guest and owner satisfaction during all departmental meetings and focuses on continuous improvement.
• Perform other duties as requested by management.

Managing Operations, Projects and Policies

• Implement applicable guest and owner recognition/service programs and ensure consistent execution.
• Supervise same-day selling procedures to maximize hotel room revenue while appropriately managing property occupancy.
• Supervise daily Front Desk shift operations and ensure compliance with all applicable policies, standards, and procedures.
• Ensure property policies are administered fairly and consistently and that disciplinary procedures and documentation are completed in accordance with CoralTree and local operating procedures.
• Ensure Front Office associates understand and comply with all applicable Club policies and procedures.
• Maintain a strong understanding of Club policies, owner benefits, occupancy procedures, and Front Office processes to ensure accurate and consistent communication with owners and guests.

Supporting Human Resource Activities

• Support the development of associates through coaching, mentoring, training, and other opportunities to improve knowledge and skills.
• Solicit associate feedback, maintain an open-door approach, and address associate concerns appropriately.
• Bring employee-relations concerns to the attention of management and Human Resources as appropriate.
• Assist with interviewing and hiring team members with the appropriate skills and experience.
• Ensure appropriate new-hire training and onboarding for Front Office associates.
• Participate in employee progressive discipline procedures in accordance with CoralTree policies.

Additional Responsibilities

• Communicate relevant information to leaders, peers, and team members by telephone, in writing, electronically, or in person.
• Analyze information and evaluate results to identify solutions and solve problems.
• Keep appropriate leaders, peers, and team members informed of relevant information in a timely manner.
• Perform all Front Desk duties as necessary and run Front Desk shifts when needed.
• Participate in departmental meetings and consistently communicate Front Office goals and priorities to produce desired results.

Qualifications

• Prior guest service experience, preferably within the hotel, resort, residence club, or hospitality industry.
• Prior supervisory or management experience.
• Strong communication, problem-solving, and service-recovery skills.
• Ability to build positive relationships with hotel guests, Club owners, and team members.
• Desire and ability to learn new systems, policies, and processes.
• Positive, professional, and service-oriented attitude.
• Ability to work a flexible schedule based on business needs.

Compensation and Benefits

The salary range for this position is $65,000-$75,000.  NOTE that this position provides optional subsidized housing located within Austria Haus. Housing is not required. The total rent for a 1 bedroom premise is $1,105/month.  Actual pay will be commensurate with experience.
