Responsibilities

  • Follows all steps on GRC checklist for each group, to department standards. Oversees meeting planner adherence to reservations due dates, and input of group rooming lists within 24 hours of receipt.
  • Works with Reservations Manager and Rooms Controller to track pick up and daily activity of all definite groups, to ensure optimum occupancy and revenue are achieved.
  • Reviews all contracts to ensure the accuracy of rates, dates, billing inventory levels, and all miscellaneous information is accurate and concise.
  • Creates and maintains compete files on all group bookings.
  • Handles special details, such as rates, room blocking, billing, and VIP guests.
  • Reviews previous evenings no shows and bills accordingly. Communicates to all appropriate Sales Managers and Conference Service Managers the respective no shows for each group.
  • Supply information on all groups booked by the Sales Department to reservations enabling the agents to properly give information and take reservations. Ensures that the correct group sales process is in place and complete, accurate guest data is obtained. 
  • Participates in weekly group pick up meeting with Director of Revenue Optimization, Conference Services Managers, Director of Sales, and Reservations Management team.
  • Speak clearly and listen carefully.
  • Use personal judgment and specialized knowledge to give information to people.
  • Communicate well with many different kinds of people.
  • Change easily and frequently from one activity to another.
  • Use eyes, hands, and fingers accurately while operating a switchboard or computer keyboard.
  • Use special record keeping procedures that involves intense administration and attention to detail.
  • Recognize errors in recorded information and corrects information.
  • Perform routine or repetitive work.

Qualifications

  • Must have developed language skills to the point to be able to: Read and understand instructions, safety rules etc.
  • Write reports with proper format, punctuation, spelling, and grammar, using all parts of speech.
  • Write business letters, summaries, and reports, using prescribed format, and conforming to all of punctuation, grammar, diction, and style.
  • Speak with poise and confidence using correct English and well-modulated voice.
  • Analyze and interpret established policies.
  • Change activity frequently and cope with interruptions.
  • Accept full responsibility for managing an activity.

Experience, Education, & Licensure:

  • Minimum of two years of experience in the Reservations or Front Office of a full-service hotel or related field.
  • A strong knowledge of Microsoft Office, Word, and Outlook.
  • Experience and knowledge of SMS, Reserve and Envision is preferred.
  • Required High School Diploma or GED required.

Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perceptions and the ability to adjust focus. Must be capable of answering phones and using a computer.
  • While performing the duties of this job, the employee will be exposed to indoor working environment. The noise level in the work environment is usually low.
