Overview

This position is responsible for the overall operation of the convention banquet space, meeting with guests to understand the requirements for their functions, and supervision of the banquet staff to ensure guests' requirements are met and exceeded.

Responsibilities

  • The Conference Services Manager is responsible for coordinating the service efforts between sales, banquets and all applicable departments to ensure proper utilization of function space to yield maximum revenues.
  • The Conference Services Manager is responsible for planning all details of group customer stay and events and managing client requirements to ensure that events run smoothly and accounts are kept in order.
  • This includes but is not limited to managing room blocks and rooming lists and detailing food and beverage requirements.
  • Works closely with Catering Sales, Group Sales, Revenue Management, Banquets, Finance and all Operational departments of the hotel.
  • The position ensures the Catering & Conference Services operation meets the brand’s target customer needs, ensures employee satisfaction, and focuses on growing revenues and maximizing the financial performance of the department.
  • Effectively and timely handles group/catering sales turnovers. Identify group guest needs and all sales opportunities.
  • Ensures group rooms and banquet attrition are followed.
  • Plan and conduct site inspection of upcoming programs.
  • Effectively use Delphi while using existing sales standards to document all sales and services activities.
  • Develop and implement own sales action plans for up-selling food and beverage as well as guest rooms to achieve personal and team financial goals.
  • Assumes responsibility for the successful set-up and execution of programs.
  • Consistently maintains team informed of events or VIP clients in a professional and concise manner to anticipate guest’s needs and create guest loyalty.
  • Make timely and impromptu decisions, which balance guest’s needs with the financial, safety and staffing goals of the hotel.
  • Plan and/or attend and/or participate in meetings with hotel team members and guests, including but not exclusive to: Morning Operations Briefing, Morning CS Briefing, Resume Meeting, Banquet Event Order Meeting, Sales Meeting, Pre-Convention Meetings, Menu Tastings and Site Visits.
  • Provide a problem free experience for our guests while providing the highest standards of service and effective communication of the program through to ensure guests expectations are meet.
  • Ability to work flexible shifts including nights and weekends depending on group needs.
  • Reporting into the Director of Sales, you will assist in taking the lead in organizing all details related to group bookings and catering events from the Sales Phase to the Post-Event Phase.

Qualifications

  • Previous experience in hospitality service-related positions required.
  • Previous experience as a Conference/Convention Services Manager, Event Planning Manager, or Group Rooms Coordinator preferred.
  • Familiarity with Sales and Marketing tools.
  • Salesforce/Delphi experience preferred.
  • Participate as team player with other key hotel members
  • Must be self-motivated and able to work with minimal supervision.
  • Must possess computer skills, including but not limited to, Microsoft Word, Excel, and Delphi Knowledge of computer accounting programs, math skills, as well as budgetary analysis capabilities required.
  • Professionally represent the hotel in community and industry organizations and events.
  • Provide constructive feedback to all departments and to hotel sales and marketing leaders.
  • Knowledge of hotel and competitive market.
