Overview

This position will support the Community Associations office team. Also, this position schedules meetings, gives information to callers, takes dictation, and otherwise relieves the management team of clerical work, administrative duties, and business details. This position requires familiarity with Community Association Management concepts and procedures. Relies on experience and judgment to plan and accomplish goals. A certain degree of creativity and latitude is expected. Additionally, this position will be responsible for recording Board meeting minutes and assisting with Board meeting packet creation.

 

Salary Range: $23.00 - $25.00 per hour.

Responsibilities

  • Assist and support the Director in the performance of his/her duties;
  • Answer phone calls from homeowners; provide accurate answers for standard questions across all support areas. If a question needs to be transferred to a certain department, ensure that relevant information is collected and passed on to that department;
  • Open all mail, scan, and distribute to proper channels, people, and/or Teams sites
  • Scan checks into appropriate Association bank accounts;
  • Manage email and central ticketing system. Provide first point of contact for standard inquiries, ensure requests are routed to the proper department if the question requires a department’s expertise to answer;
  • Enter invoices into the appropriate Association’s accounts payable, ensuring accuracy of data entry
  • Assist with recording deposits into appropriate Association’s owner receivable accounts. Coordinate with accounting team to clear any issues or discrepancies
  • Assist with completing month-end tasks, including bank reconciliations, billings, etc.;
  • Return requests for escrow demands / payoffs in timely fashion;
  • Respond to Condominium certification document requests;
  • Set up all new owner accounts in Suncadia HOA databases from title company documents and resale payments;
  • Monitor janitorial vendor performance for cleanliness and organization of Community Associations and Community Services buildings;
  • Prepare reports, establish, and maintain comprehensive and confidential files, take, and publish minutes and other records, as needed;
  • Develops and types dictation and/or written correspondence;
  • Responds to routine and non-routine external correspondence;
  • Assists in the maintenance and updating of the Community Associations websites and weekly email newsletter;
  • Arrange, coordinate, and attend meetings for staff, safety, Boards, Annual Member, Committees, and other work groups; as needed;
  • Maintains and organizes all administrative supplies and assets;
  • Arrange and coordinate interviews and vendor meetings, as needed;
  • Assists Director with creation of Board meeting packets and minutes;
  • Acts as liaison with other departments and owner committees;
  • Other duties and assignments as directed.

Qualifications

  • Ability to perform a wide variety of complex and confidential administrative duties using own initiative and independent judgment;
  • Administrative experience in Office Management and/or Executive Assistant role;
  • Associate degree or higher preferred; experience may be considered in lieu of degree;
  • Ability to make decisions and act independently;
  • Strong communications and liaison skills, oral and written, to all levels of management, subordinates, contractors, other agencies, outside consultants, community groups and individuals, and others;
  • Advanced computer knowledge with Windows, Microsoft Word, Outlook; Excel; Publisher; and PowerPoint.
  • Strong organizational skills and administrative abilities.
