Job Summary:

As the Administrative Assistant for the Maintenance Department, you will play a critical role in supporting the team with administrative tasks and ensuring that maintenance operations run efficiently. You will be the central point of contact for the department, providing essential support in scheduling, communication, record-keeping, and coordinating maintenance requests. Your efforts will help maintain a safe, functional, and well-maintained environment for our staff and customers.

Responsibilities

Key Responsibilities:
  • Administrative Support: Provide general administrative support to the Maintenance Department, including filing, record-keeping, data entry, and office organization.
  • Scheduling & Coordination: Assist in scheduling maintenance work orders, coordinating with vendors and contractors, and managing appointments for facility repairs and services.
  • Maintenance Requests: Receive, track, and prioritize maintenance requests from staff and other departments. Ensure timely follow-up and resolution of issues.
  • Documentation: Maintain accurate records of completed work orders, service contracts, inspections, and maintenance logs.
  • Inventory Management: Track inventory of maintenance supplies, equipment, and tools, and assist in ordering new materials as needed.
  • Communication: Act as the primary point of contact between the Maintenance Department and other internal departments, ensuring clear and effective communication.
  • Reporting: Prepare weekly or monthly reports on maintenance activities, status of open work orders, and any outstanding issues.
  • Compliance & Safety: Ensure all maintenance activities comply with company safety standards and regulations. Help maintain records of safety inspections and audits.
  • Other duties as assigned: Assist with special projects or other administrative tasks as needed.

Qualifications

Qualifications:

Education: High school diploma or equivalent; an associate degree or relevant certification is a plus.

Experience: 1-3 years of administrative experience, preferably in a maintenance, facilities, or construction setting.

Skills:

  • Strong organizational and multitasking abilities.
  • Excellent communication skills (both written and verbal).
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Attention to detail and accuracy in documentation and record-keeping.
  • Familiarity with maintenance management software is a plus.

Wage Information:
The hourly wage for this position is starting at $26.00. Actual pay will be commensurate with experience.
