Overview

As Suncadia’s Community Event Coordinator, you will play a key role in supporting and organizing the events programming for the property, aimed at enhancing the experience for owners, club members (both current and prospective), resort guests, prospective real estate buyers, the media, and the surrounding local community. Your responsibilities will include assisting with the entire event lifecycle, from planning to execution, ensuring smooth and engaging experiences for our diverse audience. You will help deliver an event program that aligns with the sales objectives for real estate and hospitality, as well as the goals of our community grant partner, Suncadia Fund for Community Enhancement (SFCE). You will be a vital member of the marketing team, contributing to community promotion, engagement, and experiences through the coordination of exceptional festivals, events, and cultural activities that align with our brand and set us apart from competitors. This role will work closely with the SFCE event consultant on the planning and execution of SFCE events.

 

Targeted Annual Salary: $60,000 - $70,000/year (annual salary based on a 45-hour work week)

Responsibilities

Event Planning:

  • Assist in developing and executing comprehensive event plans, considering themes, organization, and attendee experience.
  • Collaborate with cross-functional teams to support events that align with real estate and hospitality, HOA (Homeowners Association), and SFCE strategies and objectives.

Budget Management:

  • Manage pre-set budgets for each event, ensuring cost-effectiveness and adherence to financial guidelines.
  • Assist in negotiating contracts with vendors and suppliers to optimize resources and achieve budgetary goals.
  • Work with Hospitality, Real Estate, HOA, as well as SFCE, to secure appropriate and adequate funding for all event types.

Logistics and Operations:

  • Coordinate logistical aspects such as venue selection, permits, transportation, and equipment.
  • Work with internal departments and external partners/vendors to ensure smooth operations during events.
  • Be available to work evenings, weekends, and holidays.

Program Development:

  • Support the curation of diverse and engaging event programs that cater to the interests and preferences of our varied audience.
  • Research new event concepts, ideas, activities, and offerings to support the evolution and growth of event programming.
  • Assist in sourcing and managing talent, performers, and speakers, aligning with the event’s theme and goals.

Marketing and Promotion:

  • Collaborate with the marketing team to support promotional strategies and campaigns for each event.

Guest Experience:

  • Focus on creating memorable and positive guest experiences through thoughtful planning and attention to detail.

Risk Management:

  • Assist in identifying and mitigating potential risks associated with events, ensuring the safety and security of attendees.

Post-Event Evaluation:

  • Conduct post-event evaluations, analyzing key performance indicators and feedback to inform future event planning.
  • Generate comprehensive post-mortem reports on the success and areas for improvement of each event.

 Perform other duties as assigned by management.

Qualifications

  • Bachelor's degree in Event Management, Hospitality, or a related field or an equivalent combination of education, training and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job.
  • Valid U.S. Driver's license
  • Proven experience in planning and executing large-scale events and festivals, preferably in a resort or hospitality setting.
  • Strong organizational, communication, and negotiation skills.
  • Ability to work collaboratively in a dynamic, fast-paced environment.
  • Creative thinking and problem-solving skills.
  • Knowledge of local regulations and permitting processes for events.
  • Excellent written and verbal communication skills.
  • Must develop a complete working knowledge of Suncadia, including all its attractions and amenities.
  • Must manage and lead large scale projects and teams of employees/volunteer/contractors.
  • Must be able to see a project from beginning stages through to fruition.
  • Must have strong negotiation and contracting skills.
