Overview

The Bilingual Human Resources Administrative Assistant provides assistance with and facilitates human resource processes at The Westin at The Woodlands.   This role assists associates with HR related questions and matters; and provides administrative support to the human resource function as needed including record keeping, file maintenance and HRIS  entry.

Responsibilities

  • Performs customer service functions by answering associates requests and questions in a timely and thorough manner.
  • Assist with benefit enrollment/questions
  • Posts hourly positions
  • Submits applications to the hiring manager
  • Launches and completes New Hire Onboarding for hourly associates 
  • Completes Forms I-9, verifies I-9 documentation 
  • Assists with new-hire packets to include background checks and pre-employment.
  • Assists with Orientation to include tour of the hotel
  • Conducts audits of  TABC, SafeServ programs and CPR/First Aid certifications  
  • Assists with processing new-hire paperwork to include entering status changes and new hires into the HRIS system.
  • Assists with processing terminations.
  • Makes photocopies, mails, scans and email documents; and performs other clerical functions as needed.
  • Prepares new associate files and files documents into appropriate associate files.
  • Assists with invoice processing and tracking.
  • Tracks the referral program
  • Assists Area Human Resources Team with special projects such as quarterly associate  recognition and associate appreciation events.
  • Keeps  Human Resources Manager informed of any problems and unusual matters.
  • Working knowledge of federal, state and local laws governing equal employment and civil rights, occupational safety and health, and worker’s compensation. 
  • Assists with any property events including creating flyers with Canva. 
  • Assists with maintaining and updating announcement board and guest satisfaction score board. 
  • And any other duties assigned.

Qualifications

  • Relevant People Services (Human Resources)/ administrative experience preferred
  • Prior hotel experience preferred
  • Excellent written and verbal communication skills required
  • Bi-lingual (English/Spanish)
  • Computer proficiency
  • Organanizational skills
  • Ethical practice and the ability to maintain confidential information
  • Able to meet deadlines as necessary
  • Able to work in a fast pace environment
  • Must be able to work a flexible schedule to include some weekends and evenings when needed.
