Overview

Join us for this incredible opportunity to be part of our management team as a full-time Reservations Manager at Wild Dunes Vacation Rentals, located in the isle of Palms, South Carolina. CoralTree Residence Collection is recognized as the outstanding choice for managing premium and luxury residential resorts, vacation homes, and hotels, defined by people with genuine purpose, pride, and a sense of place. This position is responsible for the leadership and management of all aspects of revenue generation within the Reservations department to include training, coaching, mentoring, cultivating, and motivating a team of professionals to effectively maximize profit for the hotel.

Responsibilities

  • Ensures all incoming calls in less than three rings in a professional and friendly demeanor following hotel call quality and brand standards.
  • Oversees training and onboarding of reservation sales associates.
  • Achieves monthly individual & team conversion and revenue goals.
  • Pursues outbound revenue opportunities through our lead management system.
  • Attends & leads bi-monthly calls with Revinate & leadership to ensure optimizing use of the system.
  • Ensures timely & professional responses to Travel Agent requests and emails. 
  • Facilitates group rooms coordination & 3rd party reservation completion.
  • Proactively manages inventory and communicates as needed with owners to achieve both owner satisfaction and maximization of revenues.
  • Ensures team is current with all communication and property information.
  • Ensures appropriate guest follow-up takes place in a timely and proper fashion, in accordance with the standard operating procedures.
  • Provides detailed notes and comments in the lead management system and PMS regarding guest requests to ensure a quality guest experience.
  • Maintain rate integrity in accordance with revenue management strategies.  Communicates strategies to reservation sales associates in a timely manner.
  • Attends and participates in weekly revenue meetings.
  • Completes and distributes weekly reservations production report. 
  • Creates and maintains department scheduling and overview of timesheets.
  • Completes month end reconciliations and travel agent commissions report.
  • Maintains a standard of 80% or higher on team shop calls.
  • Maintains a 4% or less abandonment rate.
  • Assists in maximizing hotel room revenue and occupancy numbers.
  • Participates in annual reservations sales training.
  • Support in group sales and service as needed.
  • Adheres to the company dress code.
  • Fulfills daily tasks on the Reservations Checklist.
  • Must have an impeccable attendance record.
  • Must be willing to work a flexible schedule, and be available to work nights, weekends and holidays.  
  • Must be a cultural ambassador and participate positively in a sales team environment.
  • Proactively troubleshoots roadblocks for the reservation sales associates and drives solutions by working with team members across departmental lines as well as with multiple hotels.
  • All other duties as assigned by management.

Qualifications

 

  • Must be able to sit for long periods of time.
  • Ability to work in a remote environment.
  • Ability to travel to hotels and work onsite for extended periods.
  • Must have previous reservation sales experience, including usage of Revinate.
  • Must have a quiet, dedicated space, free of distractions if remote.
  • Basic knowledge of Microsoft Office software suite.
  • High school graduate or equivalent
  • People person – must possess a professional, positive presentation and strong motivation to provide exceptional customer service
  • The ability to thrive and succeed in a fast-paced, demanding work environment must be flexible to changes in direction, routine and scheduling.
  • Ability to read and comprehend complex instructions and multitask.
  • Required strong proactive verbal and written communication skills. 
  • Ability to use office equipment in an effective and efficient manner.
  • Strong organizational skills.
  • Ability to work as a team-player and accept assignments from multiple individuals
