Overview

The primary responsibility of this position is to provide administrative support to Suncadia Resort Sales Associates, Director of Sales, and Vice President of Corporate Marketing and may include reception duties in the sales and marketing office.  This position also requires the ability to maintain an upbeat, positive and professional demeanor in a busy and/or changeable office atmosphere. We are seeking an individual that has a strong aptitude for sales, client relations and details. Day to day will be assisting Sales Managers with connecting with incoming leads and will be a pivotal role for improving efficiencies and organization to propel the success of the overall Group Sales Team.  Proficiency with the Microsoft Office software suite is a requirement.

 

Salary Range: $20/hour - $22/hour

Responsibilities

  • Plan and support site tours, alerts and schedules
  • Create proposals and estimates for Sales Managers
  • Manage group functions and bookings in CRM
  • Assist Dir. Of Sales with monthly and quarterly reporting
  • Assist VP of Corp. Mktg. with invoicing and purchase order processing
  • Provides administrative support to VP of Corp. Mktg. as needed
  • Provides administrative support to Sales Managers
  • Answers and responds to incoming calls
  • Maintains strong knowledge of Sales Managers schedules and assists with travel planning and client meetings
  • Helps to assist in coordinating in-market client events
  • Welcomes incoming guests with courteous and professional attitude
  • Handles meeting planner/guests requests promptly and with high level of accuracy
  • Process invoices & commission in a timely manner
  • Maintains accurate files and records for Sales/Conventions department
  • Responsible for inventory control of resort related collateral
  • Maintains records for all VIPs, special requests, etc.
  • Perform other duties as assigned by management.

Qualifications

  • Minimum of two years administrative office experience
  • Experience in a hospitality environment is preferred
  • People Person – proven ability to provide exceptional customer service
  • Ability to work in a fast-paced environment
  • Ability to use office equipment in an efficient and effective manner
  • Strong organizational skills
  • Excellent computer skills including proficiency with Microsoft Office software suite; proficiency with Adobe applications a plus
  • Ability to read and comprehend instructions and create correspondence and memos
  • Ability to work as a team-player and accept assignments from multiple individuals
